Grand Canyon Youth (GCY) does not sell, rent, loan, lease, or distribute in any way the contact information of our donors, employees, volunteers, participants, or their families (referred to below as stakeholders) to third parties. The GCY database is password-protected and available only to staff.
GCY maintains the highest level of respect for the privacy of its stakeholders. GCY collects and uses personal information, including, but not limited to: the amount donated, bank account information, address, telephone number, donor comments, email address, and health information. GCY uses third-party credit card processors to store and manage credit card information. U.S. tax laws require GCY to retain donor contact information and contribution amounts.
GCY will never sell, trade, rent, or share stakeholders’ names, credit card or bank account information, email or mail addresses, or telephone numbers. Specifically, contact information (email, telephone number, and address) of donors will be used for these purposes only:
- Distribute receipts for donations
- Thank donors for their donation
- Solicit donations
- Inform donors about upcoming fundraising and other activities of GCY
- Internal analysis and record keeping
- Name recognition in annual reports and on the website
- Reporting to relevant U.S. and state agencies
Donors’ names are publicly associated with their donations unless they explicitly state they wish to remain anonymous.
GCY is not subject to the mandates of the Family Educational Rights and Privacy Act (“FERPA”). Access to donor financial information is strictly limited to office staff.
It is the policy of GCY to withhold any information that may be considered sensitive to parties outside the purview of their role within the organization. For example, this could include information in expedition rosters. Sensitive information includes, but is not limited to, medical history and/or conditions, contact information of participants, employees, volunteers, donors, etc. Printed trip rosters should be destroyed after the expedition or given to a GCY staff member for shredding. Employees/volunteers will work to ensure that sensitive documents are kept in a manner that protects this confidentiality.
GCY will not distribute, share, or sell participant or employee/volunteer information to third parties unless permission is expressly granted by the participant and their parent/guardian. GCY does not share youth contact information for communication outside of preparation for participation. GCY will not share non-essential participant contact information with field staff, other participants, volunteers, or other entities before or after their participation in the program. Exceptions are made for partnering organizations that have official paperwork pertinent to joint participation in the collaborating organization. Exceptions are also made in the event of a medical emergency, when contact and personal medical information must be shared with medical personnel for the participant’s care and well-being. GCY is not required to comply with the Health Insurance Portability and Accountability Act (HIPAA).
GCY does not monitor, nor is it responsible for, communication between participants and anyone they may have met through participation in our program.
SMS Messaging
SMS consent is not shared with third parties or affiliates. GCY may use SMS messaging to communicate directly with relevant parties involved in GCY expeditions or activities.
